Absence today

I have used the Absence section to view absences within a rang, but employees that have overlapping dates will not be shown.  Example, if an employee (Barry) is off from the 26th of April to the 7th of June, if I run a report in May for employees that are absent in May, Barry will not be shown as their absence started in April and ends in June.  Is there a way to see Absences for employees that are absent for today (the day the request was ran) or absent in the region that I selected (regardless of their start date but the fact that they have a absence in that period)?

Prorated Leave Balance Calculation

Hi,One of our customer(using IFS Apps-10), has changed their HR calendar from July-June to January-December. Now, from July’22- De’22 they will get the leave balance equal to that they would be getting for the full year, i.e. July’22- Jun’23. And from Next January’23 they will be having new leave balances. Can anyone suggest, how can this be handled easily and efficiently?Regards-Nahin

How can I setup prorated leaves in IFS?

There is a scenario where we need to setup prorated leave balance for PTO.Amount of days received is prorated based on when you start. January – March : receive 3 days PTOApril – June :  receive 2 days PTOJuly – September : receive 1 day PTOOctober – December : receive 0 days PTO

Locking Last Week's Time Registration in IFS Cloud (Beyond Time Authorization)

Hi everyone,I’m looking for guidance on whether there is a standard functionality in IFS Cloud that allows administrators to lock time registrations from the previous week, preventing users from making any amendments once the week has ended, apart from the Time Authorization functionality.The goal is to ensure data consistency and avoid retroactive changes after a defined cutoff point (e.g., every Tuesday morning for the prior week).Does IFS Cloud offer any out-of-the-box configuration or process for this? If not, are there any recommended best practices or common workarounds (such as custom events, permissions, or background jobs) that others have used to achieve this behavior?Thanks in advance for your help!

IFS Data Retention Policy in Apps10

Can anyone please confirm what options we have within IFS to set up a data retention policy I.e. How long data is stored before it is deleted?We would need this to be different depending on the product range so not the same policy across the whole environment. This is to comply with UK privacy laws.

Absence req parental leave for unborn child

We have encountered an issue regarding absence requests for parental leave for unborn children.Background: We went live with IFS Cloud last fall and set up parental leave as an absence the employees have to request.From new year there are new rules for companies to report data such as for which child the absence considers.Way of working: The Employees add a related persons and flags the “Dependent” flag to yes, these are then used when a absence request is registered. This works fine as long as the date of birth is known. However, when requesting the parental leave for an unborn child it is not possible to add a future date. Even though the planned date of birth most likely will change, adding ’today’´s date as date of birth when the absence request is created could be way off since the request can be made in several months ahead.Are there any other that are using this functionality or have the ‘parental leave for future children’ set up in another way? Best regards maxels

Employee Overtime Reduction for Absence

Hi All,I need to set up a scenario in employee time card as below, Can someone help me to set the rule type and balances etc for this .The employee works overtime one hour in the morning and then takes 2 hrs of  absence in the afternoon. (Work schedule 7:00 - 15:30 ,0,5lunch)) In his reporting absence wage code overtime subtract is “Overtime Reduced” Hence Employees can never be paid overtime until full scheduled time has been fulfilled so the overtime is reduced. The reduced overtime should shown as an information line on the absence wage code.

‘Parent Organization Code’ does not change

Issue:‘Parent Organization Code’ does not change, after moving the organization units between other organization units.     Steps:Go to Graphical Organization Structure window. Then you can move the organizational units between other organizational units (you can drag and drop the organizational units). Before doing it, please notice that ‘Parent Organization Code’ of ‘SUB LEVEL 02’ is ‘LEVEL 01’.Then move (Drag and Drop) ‘SUB LEVEL 02’ organization unit to ‘LEVEL 02’. But ‘Parent Organization Code’ does not change to ‘LEVEL 02’.

IFS Cloud Timeclocks "offline"

Dear alllooking for IFS Cloud Timeclock users who can help me understand why they constantly go “offline” in the sense that the token fails to get renewed and they appear offline. Only a browser cache clear and login again resolves the issue. Having 15 around the world, this happens very frequently, and more frequently since upgrading to 24R2.In the browser network logs we see the regular GetServerTime() every minute, and a Post token every 5 minutes where it gets a new token (also seems to create a new session in IFS rather that reusing the existing one, and rather than using refresh tokens).Once in a while, completely random, that token refresh fails, with a 504, after which the clock becomes completely unusable, and only a clear cache helps.Any help appreciated, IFS claims non-reproduceable so far, though we have it with any browser, and client, within our network, from outside. Only thing we are not sure is our Citrix ADC reverse proxy, and have not identified where the 504 comes f

Quick Report funtions

Hello, I am doing a few quick reports and what would help me is a full list of the available out the box functions within IFS.  At present i am using joins, but have noted that there are far easier ways of achieving the same results via functions. Terminate employment configuration

Hello!Is there any possibility to configure Terminate Employment Configuration in IFS Cloud similar to the IFS version 10? Whereas the older environment offers “HR Assistant Configuration” with “Type” (such as New Employee/New Expense/Terminate Employment), in IFS Cloud I can not find anything like that. Despite three possible options in Cloud (Mandatory Steps Only/With Employee Assignments/With All The Steps), I miss little more detailed settings. Thank you for any tips or tricks! Best regardsb.d

Termination assistant Error messages

Hi! A customer encounter the following messages when terminating  employees in IFS 9. This issue has been going on for a while making the use of the assistantWould anyone happen to know what might be causing this, or have come across something similar? Any help or guidance would be greatly appreciated! 1.We also have another similar error message (sorry for the swedish) Translation: Field [SEQ_NO] is mandatory for Employee Status Details and must have a value.  Would you have any ideas ​@ADDMARIAE ?  Thanks!

Public Holiday Compensation

It appears that the Public Holiday Compensation requirements have changed somewhat recently in App10 Aurena.The original setup that was working was that a PCH Day Type was created with an Absence Wage Code, Fixed and Value of 8. A PCH Schedule was created with a date and the PCH Day Type connected. The PCH Schedule was connected to an Employee’s Schedule and Rules Assignment. A Substitute Schedule was not required. On a day defined in the PCH Schedule, 8 hours of the Absence Code would automatically be inserted into the Employee Results for that day.The above setup has stopped working. Page Help  indicates that now a Substitute Schedule for Public Holidays has to be created and connected to the Cycle Schedule. Page Help also indicates that PHC Day Types also have to be created with Increment Wage Types instead of Absence Wage Types. When I follow the Page Help the Attendance now indicates the day is a Public Holiday, but Results are not generated for the day. I have manually run the Da

Rounding Rule Definition for 12:00 am

Hello Community,We have an 8 hr. shift ending at midnight.  We are using “Rounding Rule Definition” for rounding to the nearest ¼ hr.  I’m trying to set the rule for an early-out clocking resulting in an Interval “Time Out” of 12:00 am.  However, IFS is not liking it:Early-out Clocking Resulting in an Interval “Time Out” of 12:00 am???2nd Shift ScheduleCan this be configured, How??Thanks, Troy

Time Clock - Inconsistent Results from Same LOV

Hello all, Currently working in IFS 10 Update 11, IEE - we’re noticing that on the Time Clock, the List of Values for  Operation ID on the Stop Production and Report Qty Complete buttons are not consistent. This is happening even though the LOV view for both of the buttons is exactly the same. Here’s a screenshot from the Time Clock Type Detail Items for those two buttons:Both of these buttons take Employee No and Op ID as the editable inputs. For the Stop Production Button, once you enter the employee no, the list of values for Op ID shows any operation that the employee is clocked in to. However, for the Report QTY Complete button, the employee number is not passed into the query, leaving a huge list of operations to select from instead of a few. We’ve also tried messing around with the “LOV Where” column for the Report Quantity Complete button, but can’t get the employee number to pull into the filtering. Has anyone seen this before or know what the proper syntax for the LOV Where c

Automatic Day Type Switch

Hi All,I need some assistance implementing automatic day type switches in cloud.Is it possible to see whether a day type switch has been activated - which screen please?Is it possible to use the day type switch when logging in/out times in the time card or time card details screen? I have seen some older documentation which suggests this can only be used in conjunction with time clock.but this additional detail is missing from the 24R2 documentationI have created the automatic day type switch Which should result in a completely different wage code result being used - recalculating the results below makes no difference.  I’ve checked I’m using the correct schedule and day type for this employee. Would appreciate anyone’s thoughts on this.Dave

How to block project time registration for certain dates

Let’s say we are on 25 may 2025, and the month of apris is already closed, users are still able to enter time on account dates during april and they are not blocked until it goes to accounting. Is there a way we can block at the time registration ?

Restricting Overtime Booking by Employee Schedule in IFS Cloud HCM – looking for best-practice setup

Hi everyone,We’re trying to implement a very simple overtime policy in IFS Cloud HCM / Time & Attendance (24R2) and I’m struggling to get the rules to behave as expected.Business requirementEmployee group Weekly contract What should happen Full-time staff 37 h 30 m Never allowed to enter (or have calculated) overtime. Part-time staff Anything < 37 h 30 m Can book additional hours up to 37 h 30 m; anything beyond that should switch to normal overtime.  What I have tried Overtime Rule Period Type = Week Full-time rule → Period Qty = 0 Part-time rule → Period Qty = 37.5 and “Max Hours” on the first overtime interval Rule Types linked to each Overtime Rule and assigned to employees via Employee Schedules & Rules. For part-time, I set the first interval after the contract end to an “EXTRA” wage code and limited the hours to 37 h 30 m. Recalculated clockings. Issue Full-time employees can still pick an overtime wage code on Timesheets / T&A.

How to Restrict HR Users from Viewing Confidential Documents of Peer or Senior HR Employees in Employee File

Hi everyone,I’m currently logged in as an HR user in IFS Cloud and have noticed that I can view the documents of my manager(supervisor), who is also part of the HR department. This raises a concern, as these documents may be confidential and should ideally not be accessible to peers or subordinates within the same department.Is there a way to configure access controls so that HR users can only view Their own documents Documents of employees who report to them but not those of employees at the same level or above in the organizational hierarchy (especially within HR)?I would appreciate any guidance on how to set up this kind of access restriction, whether through permission sets, document access roles, or any other recommended configuration in IFS Cloud.Thanks you. I have attached a screenshot for your reference and all the 4 documents that can be seen in below SS related to user HJ should not be visible to logged in user MW

Reconciling Time Entries of contractors with Purchase Orders and Invoicing

Hello,I’m working with contractors who record their hours directly in IFS. They have been set up as contractors, with “Invoices by Supplier” enabled at the employee-category level.My questions are:How can I reconcile the hours they have clocked against the purchase orders to which they are assigned?What is the best practice for recording and posting the supplier invoices for those clocked hours?Any guidance, recommended configuration steps or pointers to relevant IFS documentation would be greatly appreciated.Thank you in advance for your help!

Keep a manager from approving their own expense sheet

Hello, Is there an easy way in the Human Capital Management module to restrict managers from being able to approve their own expense sheets? Currently, their own expense sheets show in: Human Capital Management>Manager Services>Expenses>Expenses to Manage And they have the ability to approve the expense from there (even though we have asked them not to). I am not extremely familiar with this module, so I may be missing an obvious solution here. We are using IFS Cloud 24R1U4 Thank you!
